AI use cases for admin and operations
Admin and operations is where the low-value work piles up: inboxes, scheduling, records, the same report every Monday. These are the parts AI can carry while a person keeps the judgment.
Idea Every entry here is an idea: a realistic way AI could help, not a claim about work we’ve done.

- Idea
Board and committee minutes
From the meeting recording, AI drafts the minutes in your usual format: motions, decisions and action items. The secretary corrects and approves them.
- Idea
Cleaning up supplier product data
AI standardises messy supplier product data, like names, sizes and colours, into your format for import. A person spot-checks before it goes live.
- Idea
Daily site reports from a voice note
Before leaving site, the crew lead talks for two minutes; AI writes it up as the daily report: work done, delays, and materials needed.
- Idea
Document intake: what's here and what's missing
AI reads the documents a client submits, summarises each one and lists what's still missing for the file. A person confirms before anything is relied on.
- Idea
Engagement letters from discovery notes
AI drafts the scope and engagement letter from your discovery notes, using your standard clauses. A partner reviews every term before it goes to the client.
- Idea
Grant application first drafts
AI drafts answers to a grant's questions from your past applications and program reports. A person checks every number and claim before it's submitted.
- Idea
Insurance pre-authorisation letters
AI drafts the pre-authorisation letter from the chart in the insurer's format. A clinician reviews and signs it.
- Idea
Patterns in the maintenance log
AI reads free-text maintenance notes and groups recurring problems by machine, so a slow-building fault shows up before it stops the line.
- Idea
Personal thank-you notes for donors and volunteers
AI drafts a short, specific thank-you for each gift or volunteer shift from your records, so they don't all read like a form letter. Someone reads and signs each one.
- Idea
Referral and patient letters
AI drafts referral letters and routine patient letters from the chart summary, in the clinic's format. A clinician reads and signs every one.
- Idea
Sorting the clinic's general inbox
AI reads messages in the general inbox and sorts them by what they're about, like bookings, records requests or billing, so the right person sees them first. Anything clinical goes straight to a person.
- Idea
Spotting changed dates in supplier emails
AI reads supplier confirmations written as free text and flags any changed ship date or quantity. If the supplier sends structured data, this is usually a plain automation instead.
- Idea
The story around the annual report numbers
The numbers come from your records; AI drafts the narrative around them. Staff check every figure and claim before it's printed.
- Idea
Training quizzes from your procedures
AI drafts short quizzes from a procedure to check people understood it. The supervisor checks the answers match how the job is really done.
- Idea
Warranty claim write-ups
AI drafts the warranty claim from the photos and the tech's notes in the supplier's format. Someone in the office checks it before it's sent.
- Idea
Work instructions from an expert's walkthrough
Record your most experienced person doing the job and explaining it; AI drafts the step-by-step instruction. The supervisor verifies it on the floor before it's used.

How to read this list
Every entry is the same deal: AI takes the low-value work, and a person keeps the judgment. Not every task should go to AI, either. If a job follows fixed rules, an ordinary automation usually does it cheaper and more reliably, and we’ll say so when that’s the case.
The list is tool-neutral and it keeps growing. Want to talk through which of these fit your team? Get in touch.
